Team and User Match Sharing

In addition to operating through dynamic rules, FormulaShare is able to directly manage sets of public groups which represent groupings defined in your data model, and apply rules to these groups. This approach allows highly configurable rules and unlocks opportunties to control sharing through user or admin defined data structures and attributes.

There are two rule types which work this way:

  • Teams - Team rules share records to groups which map to records defining teams, divisions, regions or any other group of users or roles in your Salesforce data model. FormulaShare manages one public group per team record and keeps group membership in sync with your team data.
  • Users with Matching Field Value - Rules of this kind share records based on the match of a record field to a field on User records. FormulaShare manages a group per distinct field value, with each group containing users who have that value set.

Both rule types require public groups to be kept up to date. FormulaShare handles this through a combination of real-time trigger-based updates and a periodic batch reassessment process.
